MailMind Privacy Policy

MailMind helps Chinese-speaking users understand English physical mail by extracting text from mail photos or PDF files, generating a Chinese summary, classifying the mail, and helping users create to-do items for required actions.

This Privacy Policy explains what information MailMind collects, how it is used, and what choices you have.

Information We Process

MailMind may process the following information depending on how you use the app.

Mail Photos and PDF Files

You may choose to upload photos or PDF files of mail into MailMind. The app uses on-device OCR to read English text from these files.

MailMind does not store your original photos or PDF files in cloud storage. Photos and PDF files are used for OCR and analysis inside the app workflow.

Extracted Mail Text

After OCR runs on your device, the extracted English text may be sent to MailMind’s backend service so AI can generate a Chinese summary, classify the mail, and suggest action items.

The extracted text may include personal information that appears in the mail, such as names, addresses, account references, amounts due, deadlines, or other content included by the mail sender.

Mail Summaries, Categories, and To-Do Items

MailMind stores the following information so you can review previous analyses and manage tasks:

Account Information

If you sign in with Apple or Google, MailMind uses Firebase Authentication to create and manage your account. We may receive or store account identifiers, such as your Firebase user ID, and authentication information provided by Apple or Google, such as your email address when available.

Guest Mode

You may use MailMind without signing in by choosing guest mode. Guest mode data is stored locally on your device and is not synced to your MailMind account unless you later sign in and migrate guest data.

When you exit guest mode, MailMind deletes guest-mode mail records and to-do items from the local device.

Diagnostics and Analytics

MailMind may use Firebase or Apple developer tools to help understand app reliability, crashes, and basic app performance. If analytics are enabled in a production build, they are used to improve app functionality and reliability, not for advertising tracking.

How We Use Information

MailMind uses information for the following purposes:

Cloud Processing and Storage

For signed-in users, MailMind syncs selected app data through Firebase services. Data is stored under your authenticated user account.

MailMind currently syncs:

MailMind does not sync or store original mail photos, original PDF files, or full OCR source documents in cloud storage as part of the normal app sync flow.

Some sensitive fields stored in Firestore, such as summaries and to-do text, are encrypted by MailMind’s backend before storage.

AI Service Providers

MailMind uses an AI service through its backend to analyze extracted mail text and return summaries, categories, and suggested action items. The extracted OCR text is sent to the backend for this analysis.

AI analysis is used only to provide MailMind’s app functionality. Do not upload mail that you do not have permission to process.

Data Retention

Guest-mode data remains on your device until you delete it, exit guest mode, uninstall the app, or clear app data.

Signed-in account data is retained so you can sync and restore your saved mail summaries and to-do items. You may delete to-do items in the app. To request deletion of account-associated cloud data, contact us at kaiqiwang4493@gmail.com.

MailMind is not intended for children under 13. We do not knowingly collect personal information from children under 13.

Security

MailMind uses reasonable technical and organizational measures to protect user data. However, no method of transmission or storage is completely secure. You should avoid uploading mail that contains information you are not comfortable processing through a cloud AI service.

International Data Transfers

MailMind may process information using cloud services that operate in the United States or other countries. By using MailMind, you understand that information may be processed outside your country or region.

Changes to This Policy

We may update this Privacy Policy from time to time. If we make material changes, we will update the “Last updated” date and, where appropriate, provide additional notice in the app or on our website.
